Below is a general overview of the Conrad N. Hilton Fund for Sisters’ grant process that is grouped into 3 main phases:                                                                                                            

1. PRE-AWARD PHASE

  • FUNDING CRITERIA MATCH
  • SUBMISSION OF GRANT REQUEST
    • Step 1: Project Proposal
      • No Deadlines
    • Step 2: Grant Application
      • Deadlines:
        • February 1  (Spring Grant Cycle) 
        • June 1  (Fall Grant Cycle)
        • October 1  (Winter Grant Cycle)

  • APPLICATION REVIEW PROCESS
    • Applicants will be notified of the Board’s decision approximately 5 months after the submission deadline dates.

 2. AWARD PHASE

  • AWARD DECISIONS AND NOTIFICATIONS
    • The HFS Board meets 3 times a year (every 4 months) to make decisions on the applications that have been submitted for their review:
      • Spring Meeting   
      • Fall Meeting  
      • Winter Meeting  
    • Email Notifications of the Board’s decisions are sent to the primary contact.
    • Funding Process
      • Grants are awarded approximately 5 months after each Grant Application deadline.
      • It takes about a month after the Board meeting to successfully disburse funds to grantees around the world.
      • If funds are returned because of incorrect banking information, $100 (US) will be deducted from the grant amount to cover any bank charges and fees.
  • GRANT AGREEMENT (FORM A)
    • The Sister-in-Charge MUST complete a Grant Agreement if her grant request has been approved by the Board.

3. POST-AWARD PHASE

  • IMPLEMENTATION 
    • The terms of a grant is ONE FULL YEAR.
    • The funds must be spent according to the terms of the Grant Agreement.  Any unspent funds must be returned at the end of the grant period.
    •  Changes to the Grant Agreement must be approved by the HFS Executive Director.
  • REPORTING:  GRANT REPORT (FORM B)
    • The Sister-in-Charge MUST complete a Grant Report at the end of the 12-month grant term.
    • A Monitor Report MUST be included with the Grant Report
